Team Account Governance Rules

Team accounts are designed to support agencies, organizations, and training programs with multiple staff members working under a shared subscription.

These rules exist to clarify responsibility, access, and appropriate use of team-based memberships.

Account Structure

Each team subscription has a designated Team Manager. The Team Manager is the primary account holder and point of responsibility for the team.

Team members have individual logins and personal activity records. Access is granted through the team subscription but usage is individual.

Team access is limited to the number of seats included with the subscription level.

Team Manager Responsibilities

The Team Manager is responsible for:

  • Adding and removing team members
  • Ensuring team members use the platform appropriately
  • Managing seat availability
  • Maintaining accurate account information
  • Overseeing use of licensed materials

The Team Manager has access to team-level documentation and entries created by team members where applicable.

Team Member Access

Team members may access forum discussions, training materials, databases, and tools according to the permissions granted by the team’s subscription level.

Team members may not:

  • Share login credentials
  • Exceed licensed seat limits
  • Distribute licensed materials outside permitted use
  • Add non-staff users to the account

Content and Data Ownership

Work created by team members within the forum and Trainer Toolkit remains associated with the team account while the team member remains active.

If a team member is removed, their entries and activity remain part of the team’s historical records unless otherwise restricted by policy.

License Use and Distribution

Textbooks, training materials, and licensed content may only be used in accordance with the rights granted by the team’s subscription level.

Distribution rights, when included, apply only to official organizational use and may not be transferred to individuals or external parties.

Subscription Changes and Termination

If a team subscription expires or is canceled, access for all team members is revoked.

Team Managers are responsible for ensuring data retention or export prior to subscription termination.

Former team members do not retain access after removal.

Compliance and Enforcement

Misuse of team access, credential sharing, or licensing violations may result in suspension or termination of the team account.

Repeated or serious violations may result in permanent loss of access without refund.
